What you agree to when you register, what we commit to in return, and what happens when plans change.
These terms apply to every event run by Global Youth Conferences and to your use of this website. Registering for an event means you accept them.
This is the part people most often misread, so it is first:
Submitting the registration form records your registration. It does not confirm your seat. Your place is confirmed only once the registration fee has been received. Until then, the place remains available to other applicants, and on popular events it will be taken.
The registration fee is separate from, and smaller than, the full delegate fee. The registration fee secures the seat; the delegate fee is invoiced after your application has been reviewed and accepted, so nobody pays the full amount for a place they have not been offered.
We may decline an application. Where we do, any registration fee already paid is refunded in full.
Your name and passport number must match your passport exactly. We use them to issue your invitation letter, and a consulate will reject a letter that does not match. We cannot be responsible for a visa refused because of details you entered incorrectly, though we will reissue corrected documents quickly and at no charge.
If you cancel:
If your visa is refused despite a timely, complete application, we refund the delegate fee in full on sight of the refusal notice. Apply early — a refusal caused by applying too late does not qualify.
If we cancel an event, every fee you have paid is refunded in full, including the registration fee. We are not able to reimburse flights or accommodation, which is why we recommend refundable bookings or travel insurance until your place is confirmed and your visa is granted.
Speakers, sessions and venues occasionally change. We will tell you as soon as we know. A change of speaker or session is not grounds for a refund; a change of city or of dates is, and in that case the cancellation terms above apply as though we had cancelled.
Delegates are expected to treat each other, the staff and the venue with respect. Harassment, discrimination, and behaviour that endangers others will end your participation immediately, without refund, and may be reported to your sponsoring institution.
You are responsible for complying with the laws of the host country and the rules of the venue.
We photograph and sometimes film our events, and use the material to describe the programme afterwards. Tell us at registration, or any time during the event, if you would rather not appear, and we will respect that without needing a reason.
Certificates of participation are issued to delegates who attend. They record attendance and the programme track. They are not an academic qualification and we do not present them as one.
The text, illustrations and design on this site belong to Global Youth Conferences. You are welcome to quote and link to our guides with attribution. Republishing them wholesale is not permitted.
We take responsibility for running the programme as described. We are not liable for travel disruption, personal injury, or loss of property at an event, and we strongly recommend travel and medical insurance for any international event.
Nothing in these terms limits liability where the law does not allow it to be limited.
We may update these terms. The version that applies to your registration is the one published when you registered. Material changes are emailed to anyone with an active registration.
